1. Who we are and what this policy covers
This Privacy Policy describes how True Point Precision ("we", "us", or "our"), handles personal information collected through www.truepointprecision.ca and our sales, rentals, support, and reality-capture services. Effective date: October 4, 2026. Personal information is information about an identifiable individual. Applicable privacy requirements may vary by province and by the activity involved.

2. Information we collect
Depending on your interaction with us, we may collect:
• Contact and inquiry information, including your name, email, phone number, organization, and information you provide in forms or correspondence.
• Order and service information, including billing and delivery addresses, purchases, rental details, support requests, and payment or transaction records.
• Newsletter preferences, consent records, and unsubscribe requests.
• Project information you provide or authorize us to capture, such as site addresses, photographs, point clouds, models, and related files. These may contain personal information, including identifiable people or location details.
• Technical information generated when you use the website, such as IP address, device/browser information, pages visited, and security logs, depending on the tools enabled. Please avoid sending unnecessary sensitive personal information through general inquiry forms.
3. How we use information
We use personal information for the purposes explained when it is collected, including responding to inquiries, preparing quotations, processing orders, arranging delivery and rentals, providing support and agreed project services, maintaining business records, protecting our systems, and meeting legal obligations.
Where we have the required consent or another lawful basis, we may send product news, updates, and promotional communications. We will explain new purposes and obtain additional consent where required before using information for those purposes.
4. Consent and your choices
We seek consent where required and choose the form of consent appropriate to the information, purpose, and circumstances. We do not make optional marketing consent a condition of purchasing products or obtaining unrelated services. Certain collection, use, or disclosure may be permitted or required by law without consent.
You may withdraw consent by contacting our privacy contact, subject to legal or contractual restrictions and reasonable notice. We will explain any resulting limitations on services. Withdrawing consent does not necessarily require deletion of records we must retain by law. Providing information for an inquiry does not automatically subscribe you to our newsletter.
5. Cookies and similar technologies
Our website is hosted on Squarespace. The website and its integrated services may use cookies and similar technologies to operate website features, maintain security, remember preferences, and collect information about website use. Squarespace describes its handling of information at Squarespace Privacy Policy. You can manage cookies through your browser settings and any cookie controls displayed on the website. Blocking cookies may affect website functionality. Where a use of optional tracking requires consent, we obtain that consent before enabling it.
6. Marketing communications
When we send commercial electronic messages, we do so with the consent or other authorization required by applicable law, identify the sender, and provide an unsubscribe mechanism. You can unsubscribe using the link in a marketing email or by contacting info@truepointprecision.ca. We action unsubscribe requests within the period required by law. You may still receive non-promotional messages needed to manage an inquiry, order, rental, or service.
7. Stripe payments
When you pay through Stripe, Stripe processes payment and related transaction information to complete the payment and support activities such as fraud prevention and payment security. Depending on the payment method and service, this can include contact details, billing information, payment method information, transaction amounts, and device or technical information. We receive information needed to manage the transaction, such as payment status and associated order details. 8. When we share information
We disclose personal information as needed to provide the requested products and services, including to Squarespace for website hosting and website interactions, Stripe for payment processing, and providers supporting communications, delivery, accounting, or technical support. Relevant order, licence, and support information may also be provided to manufacturers or distributors when needed to fulfil an order or handle a warranty or support request. We limit disclosures to the relevant purpose and obtain consent where required. Client scan files are handled under the local-storage policy below.
Information may also be disclosed where required or permitted by law, including in response to lawful requests, to establish or defend legal claims, or in connection with a business transfer subject to applicable privacy protections. This policy does not authorize unrelated third-party marketing or advertising uses; any new use requiring consent will be explained separately.
9. Client scans and project confidentiality
Project files can include identifiable people, addresses, interiors, vehicle plates, and other personal or confidential information. We use client project material to perform the agreed work and administer the project. Before capture, customers must arrange lawful site access and any permissions required of them. Our own privacy obligations continue to apply. We do not publish identifiable client project material in portfolios or promotional content without appropriate separate permission.
Client scan files, including raw captures and copies of project deliverables held by us, are stored locally rather than in cloud storage. Our standard retention period is 30 calendar days after final delivery. We then delete those files from our local project storage, unless a different period has been agreed in writing or retention is required by law. Customers should download and securely back up their deliverables during that period. This project-file schedule does not apply to invoices, agreements, payment records, or other business records retained for legal and administrative purposes.
10. Processing outside Canada
Our local-storage policy applies to client scan files. Website interactions, communications, and payment information are handled separately through the services used to operate our business, including Squarespace and Stripe. These providers may process information outside Canada. Information processed abroad may be subject to the laws of that country and lawful access by its authorities. We remain accountable for personal information under our control and require appropriate protections for service providers processing it on our behalf. 11. Retention and safeguards
We retain personal information only as long as needed for the purpose for which it was collected, applicable recordkeeping requirements, and legitimate contractual or dispute-related needs. Client scan files follow the 30-day-after-final-delivery schedule described above. Transaction and accounting records may need to be retained longer to meet tax and other legal obligations. Consent and unsubscribe records may be retained to respect communication preferences and demonstrate compliance. When information is no longer needed, we delete, destroy, or anonymize it as appropriate.
We protect personal information using safeguards appropriate to its sensitivity and restrict its use to authorized business purposes. No method of storage or transmission is completely secure. If a privacy breach triggers legal reporting or notification requirements, we follow those requirements.
12. Access, correction, and privacy concerns
You may contact our privacy contact to request access to your personal information, information about its use and disclosure, correction of inaccurate information, or withdrawal of consent. You may also request deletion; we will assess that request in light of applicable law and necessary retention. We may need to verify your identity using only information reasonably needed for that purpose.
We respond within applicable legal time limits. Where an exception prevents us from fulfilling a request, we explain the reason to the extent permitted by law and available recourse. You may raise a complaint with our privacy contact. You may also contact the Office of the Privacy Commissioner of Canada at www.priv.gc.ca or the relevant provincial privacy regulator.
13. Third-party services and children
Third-party websites and services linked from our website may handle information under their own policies. Review those policies before providing information directly to them. Our products and services are directed to business and adult customers. If you believe a child has provided personal information to us, contact our privacy contact so we can assess and address it.
14. Policy updates and contact
We may update this policy to reflect changes in our practices or legal requirements and will show the new effective date. We provide notice of material changes and obtain new consent where required; posting an update alone does not authorize new uses that require consent.
